MED-EL is seeking an experienced and highly organized Events Specialist II to join our Marketing team. In this role, you will independently plan, coordinate, and execute a variety of professional events, including conferences, conventions, tradeshows, workshops, training courses, customer events, and national and international meetings.

This position serves as a key partner across MED-EL, collaborating with Sales, Marketing, Research, Education, Finance, and other teams, as well as colleagues at MED-EL Headquarters in Innsbruck, Austria. You will manage events from initial planning through execution and follow-up while overseeing logistics, budgets, vendors, travel, event technology, and regulatory requirements.

The ideal candidate brings significant event management experience, excellent attention to detail, and the ability to confidently manage multiple priorities in a fast-paced, regulated healthcare environment.

What You’ll Do

  • Independently plan and manage assigned conferences, conventions, tradeshows, meetings, workshops, training courses, and customer events from initial planning through execution, follow-up, and evaluation.
  • Lead event logistics, including venue and meeting space, hotels, catering, audio-visual needs, travel, entertainment, on-site setup, implementation, and breakdown.
  • Partner with U.S. and international teams to strategically plan and coordinate national and international meetings and events.
  • Manage individual event budgets across departments, sales regions, and cost centers, monitoring expenses and identifying opportunities to improve spending efficiency.
  • Track, document, and report event-related healthcare professional spending to support regulatory and financial reporting requirements.
  • Manage event registration, data, reporting, and workflows within CVENT or comparable event management platforms.
  • Coordinate travel arrangements for employees, customers, healthcare professionals, and other representatives attending MED-EL meetings and events.
  • Manage relationships and deliverables with travel agents, vendors, contractors, venues, and other external partners.
  • Serve as an on-site event resource, proactively troubleshooting issues and helping create a positive, professional experience for attendees.
  • Maintain conference schedules, event calendars, financial records, and documentation for accounting, regulatory, and customer relationship management purposes.
  • Work directly with healthcare and research professionals to coordinate travel, agreements, institutional approvals, and other requirements associated with event participation.
  • Help ensure MED-EL-sponsored events and interactions with healthcare professionals comply with company policies, applicable state and federal requirements, and industry standards.
  • Research potential conferences and events, evaluating factors such as attendance, audience, manufacturer participation, cost, and location.
  • Support Sales, Marketing, Research, Education, and other teams with event and conference information to help accomplish business objectives.
  • Contribute to event procedures, best practices, process improvements, audits, and quality assurance activities.
  • Serve as an experienced resource to Events Specialist I team members, providing guidance on established processes, systems, and event practices.
  • Develop a strong understanding of MED-EL products and technologies to help determine appropriate event content, marketing materials, messaging, and customer audiences.
  • Participate in Marketing team meetings, product launch activities, special projects, and other cross-functional initiatives as needed.

Requirements

  • Bachelor’s degree in event management, marketing, business, communications, or a related field, or equivalent relevant work experience.
  • 5–10 years of experience in event management, corporate event planning, meeting planning, marketing, or a related field.
  • Experience planning and managing events within the healthcare industry or another regulated environment.
  • Knowledge of compliance requirements associated with healthcare professionals and company-sponsored meetings and events.
  • Proficiency with CVENT or comparable event registration and management software.

Preferred Qualifications

  • Certified Meeting Professional (CMP) certification.
  • Healthcare Meeting Compliance Certificate or similar healthcare meeting compliance training.
  • Experience coordinating national and international meetings.
  • Experience managing healthcare professional travel, event participation, and associated compliance documentation.
